SHORT ANSWER

The practical answer

Before placing a wholesale hair system order, verify the supplier's legal identity and supply-chain role, approve physical samples, document every construction field, define inspection evidence and defect handling, confirm the complete shipping terms, and keep a sample or batch ID for reorders.

Verify who is taking the order

Ask for the registered entity, operating location, named contact, and an accurate description of the supply-chain role. A sourcing partner, contracted production coordinator, and factory owner are different relationships.

The invoice, payment recipient, email domain, and stated company identity should not contradict one another.

Approve a physical sample before volume

Whether buying a stock unit or custom unit, the sample should represent the construction you intend to buy, not merely a generic material swatch. Record the knotting or other ventilation method, sample ID, and the written specification that belongs to it.

  • Base construction and material
  • Size and cuttable area
  • Hair type, length, direction, and curl condition
  • Density and color references
  • Knotting or ventilation method
  • Any custom packaging or label requirement

Define inspection and defect handling before payment

Ask what is checked, how the check is recorded, who reviews a reported issue, and which conditions are excluded. A useful policy provides a reporting window, decision process, replacement or remedy, and evidence requirements.

Do not rely on adjectives such as premium or strict QC. Request observable checks and a record connected to the batch.

Confirm the complete landed-cost arrangement

The written quote should state freight method, expected transit window, duties treatment, importer-of-record responsibility, destination, and what happens if the route changes.

Do not assume that a previous low-value shipment establishes the treatment of a future commercial order. Confirm the current route with the responsible freight provider.

Match payment risk to relationship stage

A first sample order should use a payment method that gives the buyer a clear transaction record. Larger wholesale payment terms can be agreed after the parties have verified samples, specifications, identity, and fulfillment performance.

Make the first order produce a reorder record

The first successful order should leave behind a batch ID, approved specification, sample reference, inspection evidence, and written record of any accepted variation. That archive reduces ambiguity when the studio needs the same construction again.
